How to upload updates to animal details

Find out how to use a CSV file to upload changes to details of your animals into NAIT — for example, if you need to correct information you entered before. Only some fields are compulsory.

Preparing the CSV file

Make sure you include all the columns in the correct order, even the optional ones. Columns A, B, D, E, F, and G are compulsory. Column H is compulsory if you are updating details for deer.

If you leave optional columns blank, the existing information won't be changed when you upload the file. For some columns you can delete previously entered information by entering a certain value. Check the notes for each column to find out what to enter.

How to complete each column

This is a compulsory field if you don't provide a NAIT visual tag number in Column B.

You can only update the RFID if it is already registered to an animal. This is the unique 16 character code that relates to each animal's NAIT tag. It is provided by tag manufacturers or can be read with a scanner. It does not have to be provided if a NAIT Visual ID is provided. Formats we accept include:

This is a compulsory field if you don't provide a NAIT RFID number in Column A.

This is the information printed on the outside of the tag. It does not have to be provided if a NAIT RFID is provided. The number must already be registered to an animal in order to update the animal's details.

Reading tags

This field is optional.

You can choose to enter a reference number of your own — for example, 1,2,3,4. This will make it easier for you to identify which record — that is, which row of your spreadsheet — is incorrect if you make a mistake in your CSV.

This field is compulsory. If you don't know the date of birth, enter: unknown.

Date information must be in a recognisable format, for example:

  • dd/mm/yyyy
  • dd/mm/yyyy
  • yyyy-mm-dd.

If you leave this field blank, the system keeps information you entered before. If you want to delete previously entered information you can enter: unknown, or 01/01/0001.

The date must be on or before the current date. If you enter a time, it won't be stored in the database.

This field is compulsory. If you don't know the NAIT number, enter: unknown.

If you leave this field blank, the system keeps information you entered before. If you want to delete previously entered information you can enter: unknown.

This field is compulsory. If you don't know the NAIT number, enter: unknown.

Animals can only be updated if they're at the NAIT location of the logged-in user.

If you're an information provider

If you're a NAIT-accredited information provider you can update animals for any NAIT location number. Enter the NAIT number for the animal, and the NAIT location number where that animal is registered.

This field is compulsory.

Enter C for cattle.

Enter D for deer.

This column doesn't apply to cattle.

To update the species type for deer use 1 of these codes:

  • European red deer = RD
  • Elk (Wapiti) = EK
  • Sambar = SM
  • Rusa deer (Sundar Samba) = RU
  • Pere David's deer = PD
  • European Fallow deer = FD
  • White-tailed deer = WT
  • Sika = SK
  • Mesopotamian = MS

If you leave this cell blank, the system will retain the information you entered before.

Columns I, J, K and L don't apply to deer.

Use these codes to record the breed of your cattle:

  • Friesian = FR
  • Jersey = JE
  • Dairy Cross = DC
  • Ayrshire = AS
  • Milking Short Horn = SH
  • Buffalo = BU
  • Other = OT

 

If you recorded OT in Column I for your cattle, enter short description of the breed here.

Enter the age of your cattle in years.

Enter the age of cattle in months. If you've entered their age in years, the age in months will be added to this.

This column doesn't apply to cattle.

Enter the registered birth date of your deer.

Use 1 of these codes to update the production type:

  • Dairy = D
  • Beef = B
  • Venison = VE
  • Velvet = VT
  • Trophy = TR

If you leave this cell blank, the system keeps information you entered before. If you want to delete previously entered information you can enter: Null.

Use 1 of these codes to update the gender:

  • Male = M
  • Female = F

If you leave this cell blank, the system keeps information you entered before. If you want to delete previously entered information you can enter: Null or N.

Enter anything you use to identify an animal — for example, a visual panel tag, a management tag or a name.

Information you enter in any of these cells replaces information you entered before. If you leave the cells blank, the system keeps information you entered before.

If you want to delete previously entered information you can enter: Null. Entering 'Null' will clear all identifiers you entered before.

Enter the date using a recognisable format such as:

  • dd/mm/yyyy
  • dd/mm/yyyy
  • yyyy-mm-dd.

The date must be on or before the current date, and after the date of birth. If you enter a date of death, don't enter anything in this cell.

If you leave the cell blank, the system keeps information you entered before. If you want to delete previously entered information you can enter: 01/01/0001.

You must enter a valid ISO country code if you've entered an export date.

You must complete this cell if you've entered an export date.

If you haven't entered an export date, now or in the past, don't enter anything in this column.

If you leave the cell blank, the system keeps information you entered before. If you want to delete previously entered information, enter:

  • 'Null', and
  • '01/01/0001' into Column S — Export date.

If you've entered an export date, you must enter a valid port code as follow:

  • Port of Napier = NZNPE
  • Port of Taranaki/New Plymouth = NZNPE
  • Port of Timaru = NZTIU.

If you leave the cell blank, the system keeps information you entered before. If you want to delete previously entered information, enter:

  • 'Null', and
  • '01/01/0001' into Column S — Export date.

Enter the date using a recognisable format such as:

  • dd/mm/yyyy
  • dd/mm/yyyy
  • yyyy-mm-dd.

Enter a date on or before the current date, and after the birth date of the animal.

Only enter a date if you have also entered an import country.

If you leave the cell blank, the system keeps information you entered before. If you want to delete previously entered information, enter:

  • 'Null', and
  • '01/01/0001' into Column S — Export date.

If you've entered an import date, you must enter a valid ISO country code.

Only complete this column if you've entered an import date.

If you leave the cell blank, the system keeps information you entered before. If you want to delete previously entered information, enter:

  • 'Null', and
  • '01/01/0001' into Column S — Export date.

Enter the missing date using a recognisable format, such as:

  • dd/mm/yyyy
  • dd/mm/yyyy
  • yyyy-mm-dd.

The date must be on or before the current date, and after the date of birth. If you leave the cell blank, the system keeps information you entered before.

Enter the found date using a recognisable format, such as:

  • dd/mm/yyyy
  • dd/mm/yyyy
  • hh:mm:ss
  • yyyy-mm-dd.

The date must be on or before the current date, and after the date of birth.

Only enter this date if you entered a missing date — the date you enter must be after the missing date.

If you leave the cell blank, the system keeps information you entered before.

These cells can only be updated by an authorised user.

To update use:

  • Animal slaughtered = True
  • Animal died but not slaughtered = False

You must complete this column if you enter a date of death in Column AF.

If you leave the cell blank, the system keeps information you entered before, but only if the Date of death and Disposal method cells are also left blank.

Enter the found date using a recognisable format, such as:

  • dd/mm/yyyy
  • dd/mm/yyyy
  • yyyy-mm-dd.

The date must be on or before the current date, and after the date of birth.

You cannot enter this if you've entered an export date.

If you leave the cell blank, the system keeps information you entered before, but only if the Slaughter and Disposal Method fields are also left blank.

If you want to delete previously entered information, enter: 01/01/0001. This will also clear any slaughter, disposal method, and carcase disease status information and set the animal to 'active'.

If you entered a date of death you must complete this column. It must match one of the values in the NAIT system depending on whether you entered True or False in Column AE.

If the animal was slaughtered — that is, you entered True in Column AE — use one of these codes:

  • Home kill = A
  • Carcase disposed of at your farm = B
  • Meat processor for human consumption = C
  • Meat processor for pet food = D
  • Animal rendering facility = E.

If the animal died, but was not slaughtered — that is, you entered False in Column AE — use one of these codes:

  • disposed of at NAIT location = B
  • disposed of at an animal rendering facility = E.

If you leave the cell blank, the system keeps information you entered before, but only if Date of Death (Column AF) and Slaughter (Column AE) cells are also left blank.

Only complete this cell if you entered a date of death. Use 1 of these codes to describe the carcase:

  • Contam = CON
  • Bruising (Fore) = BRF
  • Bruising (Middle) = BRM
  • Bruising (Hind) = BRH
  • Wound = WND
  • Egran = EGR
  • Peritonitis = PER
  • Pleurisy = PLE
  • ISL = ISL

If you enter information in any of the Carcase Disease Status fields, any previously entered information will be removed and replaced with the new information. If you leave all of these fields blank and the status of the animal is dead, the system keeps information you entered before.

If you want to delete previously entered information, enter: Null. Entering Null will clear all identifiers you entered before.
